RECOMMENDED PROPOSAL DEVELOPMENT TIMELINE
Preparing and submitting a sponsored research proposal is a lengthy process involving a lot of people and many moving parts. In order to submit a competitive proposal, we recommend starting early and engaging the appropriate people from the very beginning.
This is a recommended timeline to 1) ensure that ÎÞÂëרÇø staff and faculty can provide appropriate support and review, 2) encourage high quality submissions, and 3) ensure proposal deadlines are met.
Check with your appropriate department and college level leadership as they may have timelines with different or longer lead times.
4 – 6 MONTHS PRIOR TO THE DEADLINE
- Notify Deployed Research Administrator (DRA), College-specific Director of Grants Development, Chair, and Dean/Assoc Dean of the intent to submit.
- Consult with college leadership (including the College Finance Manager) regarding budget/effort, staff and space implications.
- Share the funding opportunity announcement and sponsor instructions with the DRA. Read both thoroughly.
- Finalize Research Team and Collaborators.
- Provide DRA with subawardee contacts. DRA will work with subs to collect administrative documents.
- With the DRA, develop project budget and timeline for proposal development.
- Initiate proposal in sponsor portal.
2 – 3 MONTHS
- DRA will start to gather admin documents (i.e. biosketch, current/pending, letters, etc.) from list of Collaborators and Key Personnel provided by PI.
- Budget is communicated to subawardees, if applicable.
1 MONTH
- Subaward documents are due
- DRA will start completing the proposal package
- Give research plan to subject expert/writing center/peer review
3 WEEKS
- IF THE RESEARCH TEAM HAS NOT ENGAGED WITH THE DRA PRIOR TO THIS POINT, CONTACT YOUR COLLEGE WHO WILL SUPPORT YOUR SUBMISSION
2 WEEKS
- Budget is FINAL
- Research Plan is final
1 WEEK
- DRA will route the Cayuse SP record
- PI(s) will certify
- Make final edits to research plan
5 DAYS
- Submit final documents to DRA to finalize proposal
3 DAYS
- Final documents and approved SP record are due to OG&C for institutional review/approval
- Be available to make corrections/answer questions as identified by OG&C
2 DAYS
- Submit to Sponsor
- Correct system errors and resubmit, if necessary
- Post-submission review
- CELEBRATE!
Timelines can and should be adjusted based on the complexity of the proposal and the number of people involved.
